The following is a list of PTO committees and their function. Most committees have a folder of documentation and files from prior years. In addition to formal documentation on what’s expected and how it has been done in the past, most committee folders include the name and number of a previous Chair for assistance. Some committees will also have a planning meeting with a Board member. The larger events (i.e., Carnival, Enrichment, and Holiday Gift Shop) not only may have Co-Chairs, but an entire committee to help with planning and implementing the event. - All Star Review
- This is an annual event allowing students to display their unique talents. In addition to a Chair, volunteers are needed to preview the student acts and assist at the dress rehearsal and the show. (March – April)
- Author Visits
- Author visits offer students the opportunity to meet noted authors of children’s literature. The Chair helps coordinate the visit with the librarian and arranges to sell books by the author prior to the visit. (April)
- Badges
- Create and produce name badges for PTO officers, Committee Chairs, and volunteers. We have our own machine so you can do this from home. This is a great option for working parents or parents with small children. (August/September & as needed)
- Book Fair(s)
- This committee organizes the annual Book Fair. Volunteers are needed to assist students during the week with book selection, fill orders and to work the two family nights. (September and October)
- Book Room
- This committee will work with the literacy support staff to maintain the book room and database.
- Brain Games
- This committee organizes the production and printing of the district Brain Game Booklets with the other elementary schools and determines the recognition process for AES students who return their booklets in the fall as well as those 5th graders who have moved on to Shanahan. The chairperson coordinates the entire district communication to ensure consistency among the schools. (January/February/March and September)
- Caring
- Coordinates the annual Blood Drive with the Red Cross. Also works with administration to provide students the additional supplies that may be needed throughout the year.
- COSI
- This committee arranges for the Cosi-on-Wheels program to come to AES and organizes volunteers to staff the various work stations. (January)
- Directory
- Compiles a directory of Arrowhead students with downloads provided. Computer and advertising experience would be a plus. Works with Art teacher & 5th grade teachers in student led design cover. Solicit for ad and layout advertising to help offset the cost of printing. Also locates printer and arranges printing schedule. (September-October)
- Family Fun Events
- Sponsor activities for students during scheduled days off from school such as bowling parties at a local bowling alley or ice and roller skating. Chair advertises events at school, sends home notification flyer and is the liaison for AEPTO and the sponsoring business.
- Family Portraits
- The committee arranges sittings for group portraits with a professional. May need to assist photographer with collection of funds at appointments and arrange delivery prior to Christmas. (October)
- Friday Snack/Lunch Aide
- Works with cafeteria staff in assisting students with snack purchases during Friday lunch hour. Also helps assist in line flow on the popular “pizza day.”
- Fundraising
- This committee plans the fundraising events for the school year. The first major event, The Walk-a-thon, will be in the early fall. Organizes packets, course setup, and prizes for the event. Also places order with distributor and schedules event as well as organizing the pick up and delivery for any future events.
- Holiday Craft/Gift Shop
- Volunteers are needed to organize a sale for students to purchase gifts and schedule helpers. Sale will be after school hours, and be for Arrowhead only. (September to December)
- Hostess
- Arranges for refreshments to be available at 7-8 musical concerts/events throughout the school year. Organizes needed volunteers, cookie donations, etc.
- Kindergarten Registration/Screening
- Organize and schedule volunteers to assist future kindergarteners and their parents on their “first visit” to Arrowhead.
- Logo
- Create and maintain Arrowhead Elementary and Olentangy logo inventory for sale and maintain a digital catalog. Volunteers are needed to sell logo items at Back to School Store, Open House, Carnival, and Holiday Gift Shop and at various other school events.
- Nominating
- This committee will develop and send out information in the spring to recruit for PTO officers and committees for the following school year. They will then organize and submit their recruits prior to the end of the school year. (Feb – May)
- Open House Ice Cream Social
- This committee organizes and staffs the annual ice cream social held at Open House. (August)
- Pasta Dinner
- This committee organizes the annual Pasta Dinner. Volunteers are needed to help sell tickets and check in families the night of the event. Volunteers are also needed to assist with set up and clean up. (April)
- Pro-Active Parent
- Attend the bi-monthly district meetings and distribute flyers and other information to Arrowhead parents. Volunteers are also needed to rotate going to the monthly meetings to discuss ideas and review parent feedback.
- Product Rewards
- This committee collects, counts, and promotes Campbell’s Soup labels, Box Tops for Education, ink cartridge recycling and other product reward programs. Submits labels and check requests. Also works with playground aides and submits their requests for playground equipment. This is a great option for working parents or parents with small children. Work can be done from home.
- Room Parent
- Schedules room parents and distributes packets for each classroom for parties and 5th grade graduation. (August/September)
- School Sign
- Updates sign at Arrowhead with district, Arrowhead and AEPTO calendars semi-monthly or as needed.
- School Store
- Chair organizes and buys supplies for the school store and coordinates weekly volunteers. Volunteers are also needed to staff the store once a week during lunch periods. Shares inventory and ideas with Back-to-School Store chair.
- SCRIP Neighborhood Coordinators
- Maintains SCRIP box and is available for parent purchase at your home. Turns in cash, picks up SCRIP inventory monthly, and maintains record of sales. Also helps staff a table at Back to School Store, Open House, Carnival, and Holiday Gift Shop and at various other school events.
- Staff Appreciation
- This committee organizes special activities to honor Arrowhead Staff throughout the year, such as the Staffer of the Month Bulletin boards and provision of meals on conference nights. Also coordinates with staff’s social committee to organize the appreciation luncheon in May to thank staff and Volunteers for all their efforts throughout the school year.
- Summer Book Clubs
- Volunteers work with the library staff and teachers to organize parent led book clubs held during summer break. Also organize a book exchange between our children.
- Super Games
- Help run and supervise the students with the different activities during the super games.
- Webmaster
- Maintains the PTO website. Updates schedule of events, budget, SCRIP and other parent handouts on the site.
- Welcoming
- Welcomes new families to the district, organizes volunteers to greet busses the 1st week of school, oversees Kindergarten Orientation and maintains the new parent information folder for the office.
- Carnival
- A committee is needed to organize a spring carnival.
- Carnival Concessions
- Committee is responsible for planning and ordering food and beverages. Arranges vendor negotiation such as cotton candy, has menus printed and seeks donations for food costs.
- Carnival Fundraising
- Responsible for soliciting donations to pay for games, prizes and food costs. Committee mails initial contact letters to an existing list of sponsors and makes follow-up phone calls/visits, prospects for new donators, and mails thank you letters and Post Carnival Brochures after Carnival. Organizes Chairs for Silent Auction, Raffle, and Theme Baskets.
- Carnival Games
- Chair works with Carnival Co-Chairs at securing game vendors and choosing game order and fixing and restoring in-house games. Determines equipment needed from custodial staff (tables needed, ladders, etc.). Chair is responsible for doing a layout of the games gym, showing where each game will go. Helps coordinate staffing needs with the Scheduling Chair. Works with the Prize Chair to determine prizes needed for the games that give prizes at their booth. Organizes chairs for activities such as the Cake Walk or other gaming events.
- Carnival Prizes
- Responsible for inventorying existing prize stock and ordering what is needed from catalog. Orders prize tickets and game tickets. Committee sets up prize room on setup night and tears down and packs away on Carnival night. Makes any informative signs needed.
- Carnival Scheduling
- Responsible for taking volunteers that signup for shift work and scheduling them into a master scheduling document to cover all shifts needed and distribution of this schedule to parents. Makes calls as needed to ensure all spots are filled. In charge of setting up camp; working volunteer check-in room. Work with Games Chair day of Carnival to ensure volunteers are where they need to be. Work with H.S. Service Club coordinator to schedule H.S. volunteers.
